Privacy Policy

Applies to the eSchool website and the eSchool Admin, Teacher & Parents apps · Last updated: 11 July 2026

1. Introduction & Scope

This Privacy Policy explains how E - Vision Technocraft Pvt Ltd ("we", "us", "our") collects, uses, stores and protects information when you use (a) this website, and (b) our mobile applications published on Google Play and the Apple App Store — eSchool Admin App, eSchool Teacher App and eSchool Parents App (together, the "Apps"). The Apps are provided to schools under a service agreement; the school (as the data fiduciary/controller) decides what student and staff information is managed on the platform, and we process that information on the school's instructions.

2. Information We Collect

Depending on how you use our services, we collect:

  • Account information — name, role (admin / teacher / parent / student), employee or admission ID, phone number, email address and school affiliation, provided by your school when your account is created.
  • Academic & administrative data — attendance, homework, marks, timetables, fee records, notices, leave records and similar records that your school manages through the platform.
  • Communication data — messages exchanged between parents and the school through the in-app chat, and notification delivery status.
  • Payment information — when fees are paid online, payments are processed by RBI-regulated payment gateways (e.g. Razorpay). We receive transaction status and reference IDs only; we never receive or store your full card number, CVV or banking passwords.
  • Location data — the Parents App shows live school bus location from GPS devices fitted in buses. Driver/transport app components may collect device location while on duty. Parent and student devices are not location-tracked.
  • Device & usage data — device model, OS version, app version, crash logs and diagnostics used to keep the Apps reliable and secure.
  • Website enquiries — name, school name, city, phone, email and message when you submit a form on this website.

3. App Permissions

The Apps request only the permissions needed for their features, and always ask before first use:

  • Camera / Photos — to upload profile photos, homework submissions and documents.
  • Storage / Files — to download report cards, receipts, circulars and study material.
  • Notifications — to deliver attendance alerts, fee reminders, notices and results.
  • Location — only in transport/driver components for live bus tracking; never collected in the background from parent, teacher or student devices.

You can revoke any permission from your device settings; related features may stop working but the rest of the App remains usable.

4. Children's Privacy

The platform processes student records, including records of children under 18, strictly on behalf of and under the instructions of the school, with consent obtained by the school from parents/guardians as required by applicable law. Children do not create their own accounts; access for minors is provided through parent-managed accounts. We do not use children's data for advertising, marketing or profiling, we do not sell it, and we do not permit third parties to use it for their own purposes. See also our Child Safety Standards.

5. How We Use Information

  • To provide, operate and secure the platform and Apps.
  • To deliver notifications the school configures (SMS, WhatsApp, email, push).
  • To process fee payments and generate receipts.
  • To provide customer support and respond to enquiries.
  • To fix bugs, prevent abuse and improve performance (aggregated / de-identified analytics only).
  • To comply with legal obligations.

6. What We Never Do

  • We never sell personal data.
  • We never show third-party advertising in the Apps.
  • We never use student data for behavioural advertising or profiling.
  • We never share data with third parties except as described in Section 7.

7. Sharing & Third-Party Services

We share data only with: (a) your school and the users it authorises; (b) service providers strictly necessary to run the platform — cloud hosting, payment gateways, SMS/WhatsApp/email delivery providers and crash-reporting tools — each bound by contractual confidentiality and data-protection obligations; and (c) authorities where disclosure is required by law. All processing happens on servers located in India unless your school agrees otherwise in writing.

8. Data Security

Data is encrypted in transit (TLS 1.2+) and at rest (AES-256), hosted on enterprise-grade cloud infrastructure with daily automated backups, role-based access control, audit logging and periodic security reviews. Access to production data is restricted to authorised personnel on a need-to-know basis.

9. Data Retention & Deletion

Platform data is retained for as long as the school's subscription is active, and handed over / deleted within 90 days of termination except where law requires longer retention (e.g. financial records). You can request deletion of your account and associated personal data at any time — see our Account & Data Deletion page. Website enquiry data is deleted on request.

10. Your Rights

Subject to applicable law — including India's Digital Personal Data Protection Act, 2023 and, where applicable, the GDPR — you may request access to, correction of, or erasure of your personal data, withdraw consent, and lodge a complaint with the relevant authority. For student records, requests are fulfilled in coordination with your school. To exercise any right, contact us using the details below.

11. Cookies & Analytics

This website may use cookies and analytics tools (such as Google Analytics) to understand visitor behaviour and improve the experience. The Apps use no advertising or cross-app tracking SDKs. You can disable cookies in your browser settings.

12. Changes to This Policy

We may update this policy from time to time. Material changes will be announced in the Apps and on this page, with the "Last updated" date revised. Continued use after changes take effect constitutes acceptance.
